Job Type: Full-time, Permanent.
Salary: £35,000 to £55,000 (GBP) per year (dependent on age and experience).
Benefits incl.: Annual performance and profit related bonuses + pension + private dental and healthcare (subject to qualifying period).
Annual Leave: 33 Days (including Bank Holidays, (to be taken in line with business needs and practical scheduling).
Working Hours: Monday to Friday, 0800 to 1700 (Min 40 hrs per week) with flexibility. THIS role supports a 7-day operating rhythm. Core hours Monday to Friday 0800 to 1700 with additional out-of-hours support as required (agreed and planned, not constant).
Location: WRAITH RDC (Research & Development Centre), North Yorkshire, England, with local travel for personal errands and support tasks as required Nationally and Internationally.

THE ROLE

  • Provide trusted personal assistant support to the Group CEO, focused on personal organisation, life admin, scheduling, logistics, and day-to-day coordination
  • This is not a standard office admin role. It requires maturity, judgement, and proactive ownership.
  • The right candidate will quietly take control of the details, create order, and keep everything running smoothly and securely.


WHAT SUCCESS LOOKS LIKE (FIRST 90 DAYS)

  • CEO personal calendar stabilised and protected: appointments, travel, and life admin organised with minimal disruption.
  • Key personal systems set up: task lists, reminders, document filing, recurring obligations, and streamlined communications.
  • Time regained each week through proactive planning, reduced last-minute issues, and reliable execution.
  • Trust established through absolute discretion, accuracy, and consistent delivery.

  • You are highly organised, calm, and exceptionally reliable.
  • You anticipate needs, handle sensitive matters with maturity, and complete tasks without drama. You can manage multiple priorities, maintain confidentiality at all times, and operate with a “get it done” mindset.
  • You are comfortable working with a demanding schedule and high standards.
  • This role requires absolute discretion and consistent delivery. If you are not naturally organised, proactive, and calm under pressure, this will not be the right fit.
  • We are looking for someone who enjoys creating order, protecting time, and quietly making life easier at a very high standard.


RESPONSIBILITIES

  • Personal organisation and scheduling
  • Manage and maintain personal calendar alongside business commitments (appointments, health, travel, personal commitments).
  • Plan and coordinate weekends and non-standard working schedules where required.
  • Proactively identify conflicts and protect focus time.
  • Personal administration and life management.
  • Handle day-to-day personal admin: bookings, correspondence, subscriptions, forms, renewals, and document management.
  • Organise and maintain a secure personal filing system (digital and physical) for key documents.
  • Track recurring obligations and ensure nothing is missed.
  • Travel and logistics
  • Plan and coordinate personal travel arrangements (transport, accommodation, itineraries, supporting documents).
  • Prepare travel packs and ensure practical readiness (timings, confirmations, backups).
  • Household and services coordination
  • Coordinate household services and suppliers as required (maintenance, deliveries, appointments).
  • Manage quotations, scheduling, and follow-ups to completion (within agreed scope).
  • Support procurement of personal items and errands when required.
  • Manage and triage personal communications with good judgement (email/text/other channels as agreed).
  • Draft and send messages where appropriate.
  • Maintain a disciplined action log and close tasks quickly.
  • Support and professionalism
  • Act as a trusted right-hand support, maintaining calm control and high standards.
  • Maintain absolute confidentiality and secure handling of information at all times.
  • Represent the CEO and WRAITH professionally in all interactions.


REQUIREMENTS

  • Proven experience as a Personal Assistant / Executive Assistant / Private PA supporting a high-demand individual or senior executive.
  • Exceptional organisation skills with strong attention to detail and follow-through.
  • High emotional maturity, discretion, and the ability to handle sensitive information.
  • Strong written communication and confidence dealing with people professionally.
  • Tech competent (Outlook, calendars, documents, task management tools).
  • Comfortable working in secure environments with confidentiality non-negotiable.
  • Excellent knowledge of English and basic maths.
  • Confidentiality and integrity in handling sensitive material.
  • Must adhere to security protocols, restricted access and visiting controls.
  • Working knowledge of regulations and approved codes of practice.
  • A full British driving licence.
  • Residence and the right to work in the UK.
  • A valid passport.
  • Ability to pass DBS and any required screening; demonstrable integrity, discretion, and maintain confidentiality.
